The Kleio Platform . (“Kleio,” “we,” “us,” or “our”) collects information in several different ways when Users access or use our cloud-based platform and related artificial intelligence powered features (“AI-Features”).  Kleio may be accessed by Users authorized by a customer organization (“Organizational Users”) and b) individuals who access the site directly as a member of the public for personal use (“Public Users”).

This Privacy Policy describes how Kleio collects, uses, and shares information received in different ways. This policy applies to both Organizational and Public Users regardless of location, including those in the United States and internationally. Submission of Customer Data by Organizational Users primarily governed by the Customer Agreement and in the event of a conflict with these terms the Customer Agreement will control. We are committed to protecting your privacy and handling your information responsibly.

What Information We Collect

Kofile collects certain information that you or an organization provide to us in the following ways:  1) any account details (name, email address, authentication credentials); 2)  Customer records and data uploaded or entered into Kleio; 3) Inputs submitted to Kleio (prompts, queries, documents, files); and Support requests, feedback, and communication. When you use our AI features, we process the text, images, or other content you submit in order to generate responses. We do not store this input after the response is generated.

Kofile collects certain information automatically including: 1) Log Data (IP address, identifiers, browser type, timestamps); 2) Usage data (features accessed, interactions, performance metrics); 3) Cookies and similar technologies for authentication, security, and analytics.

Some of the information we collect or that is provided to us is considered “Personal Information” because it identifies you  individually or relates to you as an identifiable individual (e.g. name, email address, postal address, IP address, etc.). We also collect information which does not reveal an individual’s specific identity and is not relatable to an identifiable individual.

The information we may collect (or process) includes:

  • Identifiers: name, email address, postal address, IP address, online identifiers, or similar identifiers.  This includes information you provide on the Kleio platform which may  include, name, email address, job title, organization, state, and other information you provide voluntarily.  We request you do not send us sensitive Personal Information such as social security, financial account, race, ethnic, or other legally protected classification information.
  • Internet Activity: browsing history on our Website, search queries, interactions with our advertisements, and other online activity including other sites you may visit.
  • Non-Personal Information: we may also collect non-personal information such as aggregated data or anonymized information which does not directly identify you.
  • Organizational Provided Information: If you access Kofile’s Kleio platform as Organizational User, that organization may provide information about you such as:
    • User provisioning details;
    • role or permission assignments; and
    • Organizational metadata.

Cookies and Tracking Technologies

We use cookies and other tracking technologies such as HTTP technologies on our Website to collect information about users browsing activity.

  • Essential Cookies: These cookies are strictly necessary for the Website to function properly. They enable core functionalities such as page navigation and access to secure areas. These cookies do not gather information about you that can be used for marketing or remembering where you have been on the internet.   • Authenticate Users and manage access and permissions
  • Store, process, and provide content results information to Users as authorized by Customers
  • Deliver AI-Features and generate output based on User input. These inputs and outputs may be logged for security, troubleshooting, or quality purposes. Aggregated or anonymized data may be used to improve the Kleio platform.
  • Improve the performance, security, and functionality of the Kleio platform: Analytics cookies help us understand how users interact with our Website so we can make improvements.
  • Respond to support requests and communicate with Users (If Applicable): Functional cookies allow us to remember your preferences.
  • To Comply with Legal Obligations: We may use your information to comply with applicable laws and regulations.
  • We generate output based on User input into our AI Features.

Data Security

We implement administrative, technical, and physical safeguards designed to protect information from unauthorized access, loss, misuse, or alteration. No system is completely secure, and we cannot guarantee absolute security.

Sharing Your Information

 We may share your information with the following third parties:  

  • Customers. If you are an Organizational User your organization may access: 1) your account information; 2) your activity within the Kleio platform; and 3) content you submit or generate.
  • Service Providers: We may share information with third-party service providers who assist us with a) hosting, infrastructure, and security, b) analytics and products improvement providers; c) Customer support and communication; d) payment, billing, and transaction providers; e) professional services and business operations providers; and f) AI and machine learning service providers. . These providers are contractually obligated to protect your information.
  • Legal Authorities: We may disclose your information to legal authorities if required by law or legal process, or if we believe in good faith that such disclosure is necessary to protect our rights, your safety, or the safety of others.  

We do not:

  • Sell your information for third parties to use for any purpose. We do not share your information with any third-party advertisers.

Your Choices Regarding Cookies

You have the right to choose whether or not to allow non-essential cookies. Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer. However, please note that disabling non-essential cookies may affect some functionalities of the Website.

When we process personal information on behalf of our customers, we do so solely under their direction. This includes any content that Users choose to process using our AI features.  We do not control this information and process it only to provide the services our customer has authorized.  If you use our services related to records of an organization, including any governmental entity or agency, that entity is responsible for the personal information it controls. Please contact that government agency or business to exercise any rights you may have regarding information stored in the Kleio platform. We will assist the customer in responding to such requests as required by our agreement with them.

We also collect certain information directly from users for our own purposes, such as login or registration details, usage logs, device information, and cookie-based analytics on the platform. For this information, Kofile acts as the data controller. If you wish to access, correct, delete, or exercise rights regarding information we control, you may contact us directly at Privacy@Kofile.com.  To protect the security of any personal information Kofile maintains, we may need to verify your identity before processing any requests. 

 California Residents

Typically, when we process personal information on behalf of our customers, we do so as a “Service Provider” under the California Consumer Privacy Act (the “CCPA”). If you use our services related to records of an organization, that organization is responsible for the personal information it controls, including determining the purposes and means by which that information is processed. Please contact that organization directly to exercise any rights you may have regarding information stored on the platform.

In some circumstances, we may we collect directly from users for our own purposes, such as login or registration details, usage logs, device information, and cookie-based analytics on the platform.  In those circumstances, we may be a “Business” under the California Consumer Privacy Act (“CCPA”). Children’s Privacy

Our Kleio platform is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you become aware that a child under 13 has provided us with personal information, please contact us.  

AI-Feature Output

Kleio’s AI‑Features generate outputs based on automated models, User‑provided inputs, and other data in the platform. AI‑generated outputs may be inaccurate, incomplete, misleading, or inappropriate and are not guaranteed to be correct, current, or tailored to any specific use case. Users should not rely on AI‑generated outputs as a sole source of truth. All outputs should be independently reviewed and validated before using them for decision‑making, compliance, legal, financial, medical, safety-critical, or other regulated. or high‑risk purposes

Changes to this Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with a revised “Last Revised Date.” We encourage you to review this Privacy Policy periodically.
