Preserving the Physical Record of Government

Extend the life of irreplaceable documents that define rights, history, and community identity.

overview

What is Document Preservation?

Preservation minimizes chemical and physical deterioration of paper-based records, extending their usable life while protecting the integrity of the original document. For governments, preservation safeguards legal authority, historical memory, and public trust.

Kofile performs all conservation and restoration work in accordance with the Code of Ethics and Guidelines for Practice of the American Institute for Conservation (AIC), using archival-grade, fully reversible techniques.

Why

Why Preservation Comes First

Decades, or centuries, of governance, planning, and civic history are stored in fragile paper formats. Without preservation, these records degrade through age, handling, and environmental exposure, placing essential information at risk of permanent loss.

Preservation ensures records remain stable, defensible, and suitable for digitization and access initiatives.

Challenges Preservation Solves

ChallengeDescription
Aging & acidic paperHistoric paper yellows, weakens, and becomes brittle over time, increasing the risk of breakage and loss.
Damage from frequent handlingHeavy public and staff use leads to tears, grime, and edge loss.
Binding & margin lossImproper rebinding can permanently remove marginal text and annotations.
Broken book blocks & index wearLoose sheets and heavily used index volumes deteriorate rapidly.
Tape, adhesives & metal fastenersNon-archival materials stain, corrode, and chemically damage paper.
Environmental damageFluctuating temperature and humidity accelerate aging and promote mold growth.

How it works

How Kofile Preserves and Protects Records

Kofile applies conservation techniques based on each record’s condition, use, and long-term value. Treatments are carefully documented and designed to stabilize materials without altering the original record.

What we do

  • Remove damaging fasteners, adhesives, dirt, and surface contaminants
  • Humidify and flatten documents to restore flexibility
  • Mend tears and reinforce weak areas using archival materials
  • Deacidify pages with a magnesium oxide buffer to neutralize acids
  • Encapsulate records using museum-grade polyester for protection and safe handling

Why it matters

Preservation that Supports Access and Continuity

By stabilizing original records, preservation reduces handling risk, enables compliant digitization, and ensures records remain usable for future generations.

Take the next step

Protect Records Before Risk Becomes Loss

Preservation ensures the past remains intact, and available, for future generations.
